Job overview

Under the general guidance and supervision of the Reception Manager, and within the limits of (Fire Life and Safety) Policies and Procedures, is responsible for assisting and coordinating activities pertaining to the Guest services operation as well as all-round Hotel activities.

DUTIES & RESPONSIBILITIES

PEOPLE
  • Assists and supports all hotel departments in dealing with difficult guest situations, particularly those when the guest demands to "speak with the manager" or makes a complaint.
  • Familiarizes self with the hotel banqueting facilities and can if needed, coordinate details and changes for banquet functions.
  • Assists as needed in other Hotel departments notably Food & Beverage and Rooms Division.
  • Supports other departments with regard to emergency requisitions, problem solving etc.
  • Monitors and handles employee issues/problems/illness etc. and resolves matters related to these in the absence of the Department Head.
  • Handles administrative tasks, including but not confined to:
  • Issuing and receiving F&B outlet, accounts and master keys.
  • Coordinates situations with Symphony outlet problems.

GUEST EXPERIENCE
  • Ensure arriving guests receive prompt cordial attention and personal recognition.
  • Coordinates “sold out” and “book out” situations.
  • Assists guests with guestroom problems.
  • Conducts regular guestroom inspections of vacant and VIP rooms.
  • Meets and escorts arriving hotel guests. 
  • Monitors lobby and guest corridor activity, and cleanliness.Conducts tours of the hotel as required.
  • Maintains appropriate standards of dress, hygiene, uniforms, appearance, posture and conduct.

RESPONSIBLE BUSINESS
  • Maintains a logbook of all occurrences, complaints etc. for the attention of Executive Committee and GM.
  • Assists in the identification and removal of undesirables from the hotel.
  • Ensures hotel and Fire Life and Safety standards are maintained during shift in all hotel areas.
  • Conducts regular "clock" rounds through the hotel to ensure Fire Life and Safety and high standard of cleanliness is maintained. Reports problems to relevant departments.
To be conversant with:
  1. The Hotel Fire Life and Safety Procedures
  2. The Hotel and Company Security Procedures
  3. The Hotel Health and Safety Policy and Procedures
  4. The Hotel facilities and attractions
  5. Current Licensing regulations (F&B service dept. only)
  6. Methods of payment accepted by the company (cash handling staff only)
  7. Hotel standards
  8. Short and long term marketing promotions.
  • Coordinates the emergency evacuation of guests in event of fire, bomb threats and other emergency situations.
  • Responsible for reporting immediately to Resident Manager or appropriate department head anything which is to be considered a Fire Life and Safety Hazard.


QUALIFICATIONS & REQUIREMENTS

SKILLS

Excellent communication skills. Experience of motivating and leading a winning team. Ability to remain calm whilst under pressure. Working knowledge of Dutch and English is desirable.
 
EDUCATION

Degree or Diploma in Hospitality Management is an asset or Graduates bachelor degree and/or diploma in hotel or other related field. Computer knowledge and experience in MS office programs.
 
EXPERIENCE

Previous experience in Duty Management and/or any other management position is desirable.
